Executive Assistant Vacancy

The United Cities and Local Governments Middle East and West Asia Section (UCLG-MEWA) is seeking to recruit an Executive Assistant to join its team.

Qualifications

We are looking for a team member who has:

  • Proven experience as an Executive Assistant to senior management,

  • A university degree,

  • Good command of English (Arabic language skills are considered an asset),

  • Strong organizational and systematic working skills,

  • No travel restrictions,

  • Ability to adapt to flexible and periodically intensive working conditions,

  • Proficiency in MS Office programs,

  • Strong interpersonal skills,

  • Excellent communication and presentation skills,

  • Strong reporting abilities.

Responsibilities

  • Manage and follow up on the daily work schedule of the Secretary General, maintain their calendar/agenda in an organized and systematic manner, and communicate instructions to staff.

  • Ensure the order and organization of meeting rooms; take notes during meetings and make the necessary preparations.

  • Carry out and monitor filing and documentation processes.

  • Organize and follow up on the manager’s domestic and international travel arrangements, including hotel and flight reservations and visa procedures.

  • Manage telephone communications.

  • Welcome guests, provide hospitality services, and photograph meetings when required.

  • Ensure the cleanliness, order, and overall organization of the Secretary General’s office floor.

  • Conduct English-Turkish correspondence and translations effectively when needed.

  • Produce content and manage posts for the Secretary General’s social media accounts.

  • Perform additional duties related to the position as assigned by management.
